When you create an account, we collect your name, email address, phone number (optional), professional role (e.g., songwriter, artist, publisher), and IPI/IPN numbers or other industry identifiers you choose to provide.
1.2 Catalog and Rights Data
We collect information about your musical works and sound recordings, including song titles, ISWC and ISRC codes, songwriter splits, publisher information, recording details, and other metadata you enter into the platform.
1.3 Documents
We store documents you upload, including identification documents, split sheets, contracts, authorization forms, and correspondence related to your royalty claims.
1.4 Usage Data
We automatically collect information about how you interact with our Services, including IP address, browser type and version, pages visited, time spent on pages, and other analytical data. This data is collected through cookies and similar technologies.
2. How We Use Your Information
We use the information we collect to:
- Provide, maintain, and improve our royalty administration services.
- Prepare and submit claims to PROs, CMOs, and collection societies on your behalf.
- Communicate with royalty organizations regarding your claims and registrations.
- Process royalty payments and commission calculations.
- Send you service-related communications, including claim status updates and account notifications.
- Analyze platform usage to improve user experience and service quality.
- Comply with legal obligations and enforce our Terms of Service.
3. Data Storage and Security
Your data is stored securely using Supabase, a trusted cloud database platform with enterprise-grade security measures. We implement the following safeguards:
- Encryption of data at rest and in transit using industry-standard protocols (AES-256 and TLS 1.2+).
- Role-based access controls limiting internal access to your data.
- Regular security audits and vulnerability assessments.
- Secure authentication with password hashing.
- Automated backups to prevent data loss.
While we take reasonable measures to protect your information, no method of electronic storage or transmission is 100% secure. We cannot guarantee absolute security.
4. Third-Party Sharing
We do not sell, rent, or trade your personal information. SoundGo shares your information only in the following limited circumstances:
- Royalty Organizations: We share your rights data, catalog information, and identification details with PROs, CMOs, and collection societies solely for the purpose of submitting claims and processing registrations that you have authorized.
- Service Providers: We may share data with trusted third-party service providers who assist in operating our platform (e.g., hosting, email delivery, payment processing), subject to confidentiality obligations.
- Legal Requirements: We may disclose information when required by law, court order, or governmental regulation, or when disclosure is necessary to protect our rights or the safety of our users.
5. Cookies
We use cookies and similar tracking technologies to maintain your session, remember your preferences, and analyze how you use our Services. You can control cookie settings through your browser. Disabling cookies may limit certain functionality of our platform.

Claim records, commission records, and related financial data may be retained for up to seven (7) years after account closure to comply with tax and financial reporting obligations.
8. GDPR Compliance (European Users)
If you are located in the European Economic Area (EEA), the United Kingdom, or Switzerland, you have additional rights under the General Data Protection Regulation (GDPR). Our legal bases for processing your data include: performance of a contract (providing our Services), legitimate interest (improving our platform), and consent (where you have opted in to specific data uses).
You have the right to lodge a complaint with your local data protection authority if you believe your data has been processed unlawfully.
9. CCPA Compliance (California Users)
If you are a California resident, the California Consumer Privacy Act (CCPA) provides you with additional rights including: the right to know what personal information we collect and how it is used, the right to request deletion of your personal information, and the right to opt out of the sale of your personal information. SoundGo does not sell personal information.
10. Children's Privacy
Our Services are not directed to individuals under the age of 18. We do not knowingly collect personal information from children. If you become aware that a child has provided us with personal data, please contact us immediately.
11. Changes to This Policy
We may update this Privacy Policy from time to time. We will notify you of material changes by posting the updated policy on our website and updating the "Last Updated" date. Your continued use of the Services after changes are posted constitutes acceptance of the updated Privacy Policy.
